How we handle the information you and your customers share with Mowable.

Draft for legal review

This is a draft, not legal advice. A lawyer should review it before launch. Items in brackets (like [Company legal name]) are placeholders. We will fill them in before this page goes live.

[Last updated: pending]

1. Introduction

This Privacy Policy explains how [Company legal name] (“Mowable,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with the Mowable operations and billing software and the related websites and mobile experiences (together, the “Service”). It applies to the business owners and crew members who use Mowable to run a lawn care operation.

Mowable is a tool that lawn care businesses use to manage their own customers. When an operator enters information about their customers and properties, the operator is the party responsible for that information, and Mowable processes it on the operator's behalf. If you are a customer of a lawn care business that uses Mowable, please contact that business directly with questions about your information.

2. Information we collect

We collect the following categories of information:

  • Account information. When you create an account we collect your name, email address, phone number, company name, and the credentials used to sign in.
  • Customer and property data you enter. As you operate your business in Mowable, you add information about your own customers and the properties you service: names, addresses, phone numbers, email addresses, property coordinates, service plans, job notes, photos, and similar records.
  • Billing information. Subscription payments and your customers' card payments are handled by our payment processor. We receive limited details such as the status of a payment and the last four digits of a card. We do not collect or store full card numbers on our own systems.
  • Usage and device information. We collect basic technical info: log data, your device and browser type, a rough location from your IP address, and how you use the Service. This helps us keep it secure and working well.
  • Location data in the field. With your permission, the crew app can tag photos and stops with GPS coordinates. This lets you verify the work and plan routes.

3. How we use information

We use information to:

  • provide, maintain, and improve the Service;
  • set up and run your account, including routing, scheduling, invoicing, and reporting;
  • process subscription payments and the card payments you collect from your own customers;
  • send service messages such as receipts, security alerts, and support replies;
  • protect the Service against fraud, abuse, and security threats; and
  • comply with our legal obligations.

We do not sell your information, and we do not use the customer or property data you enter to build advertising profiles.

4. How we share information

We share information only when we need to run the Service, and only with companies that must protect it:

  • Payments. We use Stripe to process subscription and card payments. Stripe handles card details under its own privacy and security practices.
  • Infrastructure and hosting. We use service providers such as Supabase (database and authentication) and Vercel (application hosting) to operate the Service. These providers act as processors on our behalf.
  • Legal and safety. We may disclose information if required by law, or to protect the rights, property, or safety of Mowable, our users, or the public.
  • Business transfers. If Mowable is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

5. How we protect information

We take reasonable measures designed to protect information from loss, misuse, and unauthorized access. These include:

  • encryption of data in transit using industry-standard TLS;
  • encryption of data at rest on our infrastructure;
  • we encrypt personal details like customer names, addresses, phone numbers, emails, and notes, so they are stored in scrambled form (map coordinates stay readable so maps and routing still work); and
  • access controls that scope each operator's data to their own account.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

6. Data retention

We keep information for as long as your account is active and as needed to provide the Service. After an account is closed, we retain information for a limited period to meet legal, accounting, and security obligations, and then delete or de-identify it. You may request deletion of your information as described below, subject to records we are required to keep. [Specific retention periods to be confirmed by counsel.]

7. Your privacy rights

Depending on where you live, you may have rights regarding your personal information, including the right to:

  • access the personal information we hold about you;
  • correct information that is inaccurate;
  • request deletion of your information;
  • export a copy of your information in a portable format; and
  • object to or restrict certain processing of your information.

To use these rights, contact us at support@mowable.ai. If your request concerns data that a lawn care business entered about you as their customer, we will refer you to that business, which controls that information. [Region-specific rights and response timelines to be confirmed by counsel.]

8. Cookies and similar technologies

We use cookies to sign you in and keep your session safe. We also use a little analytics to see how people use the Service so we can improve it. You can control cookies in your browser settings, but turning off the needed ones may stop you from signing in. [Detailed cookie inventory and any consent banner to be confirmed by counsel.]

9. Children’s privacy

The Service is built for businesses, not for children. We do not knowingly collect personal information from children under the age of 13 (or the age set by local law). If you believe a child has provided us information, contact us so we can remove it.

10. Changes to this Policy

We may update this Privacy Policy now and then. When we make big changes, we will update the “Last updated” date above and let you know when it makes sense to. Your continued use of the Service after an update means you accept the revised Policy.
